Outcomer for Epic

Your front-desk and patient access staff ask how to do it in Epic. Outcomer shows them.

Epic holds the patient's registration, insurance and appointments. Outcomer shows your front-desk and patient access staff each step of your own check-in and scheduling procedures, on screen, as they work.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made Epic guides. We build your guides from your own procedures, on your own Epic set-up, and test each one before your staff use it.

Shown on our practice system. We map your own Epic set-up during set-up.

Epic training that continues on the job

Training covers the basics. When a question comes up later, Outcomer answers it inside Epic, from your own procedures, while your front-desk and patient access staff work.

Support questions

Questions your staff ask about Epic

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

Can I scan a driving licence to find a patient?

In some set-ups, yes. In Patient Lookup, choose Scan Patient and scan the barcode on the licence. Epic looks for a matching patient. If there isn't one, it fills in name, legal sex and date of birth so you can create a record. Your set-up may differ.

Why did the demographics fill in by themselves on a new coverage?

When a coverage is created from a real-time eligibility (RTE) response and the subscriber is the patient, Epic can fill in the subscriber details for you, without clicking Pull Info. Your set-up may differ.

What happens to old insurance card scans when I link a new one?

Linking a new document to a coverage that already has documents marks the existing ones as expired. The Coverage Linking window opens after you scan a coverage document, or from Link to a Coverage.

What does the umbrella icon with a red X mean?

Linked documents show the coverage name with an umbrella icon. A red X on the icon means that coverage has expired.

How do I update a patient's leave of absence?

In Patient Station, click LOA Update, enter the changes and update the leave. This applies to admitted patients. Your set-up may differ.

How do I cancel or reschedule an appointment that has linked appointments?

Cancelling opens the Cancel Appointments window. Choose Cancel or Reschedule there and the window closes by itself. Linked appointments show in the Related Appointments section on the right, so you can see what else may need to move. Your set-up may differ.

Why has a Cancel Reason field appeared on the End of Day Status List?

When you set an appointment's status to Canceled on the End of Day Status List, a Cancel Reason field appears so you can record why. You can also correct the visit type and provider on the same list. Your set-up may differ.

I removed an appointment from the Confirm Appointments work list by mistake. Can I get it back?

Yes. Select Show removed appointments, find the appointment and click Add Back. Double-click the best number to open the patient's contact details when you call. Your set-up may differ.

The video visit copay failed. Can the visit still go ahead?

Yes. In this set-up the copay is attempted at check-in, and only if the patient saved a payment method during eCheck-In. A failed copay does not stop the visit from being arrived and completed. If the video call drops after the copay is taken, the patient may be owed a refund. Your set-up may differ.

What do the eCheck-In statuses mean?

Not Started means the patient has not begun. Not Offered means they have no active MyChart account. In Progress means they are working through it. Completed means their personal, guarantor and insurance details, questionnaires and signed documents are done. Hover over the status for more detail. Your set-up may differ.

How do I change a patient's text and email preferences for appointments?

In registration, open Additional Demographics and go to Communication Preferences. Choose Appointments, then Appointment Information, and update the text message and email settings the patient asks for. A patient needs a current mobile number or email, with these preferences switched on, to get eCheck-In messages.

Should I check anything before I book a new appointment?

Yes. Most scheduling starts from the patient's Appointment Desk. Check first whether the patient has an active appointment request, so you book against it rather than creating a duplicate. If an existing appointment just needs a different date, use the cancel and reschedule workflow instead of booking a new one. Your set-up may differ.

If your front-desk and patient access staff ask questions like these every week, Outcomer answers them on their own screen, using your own Epic set-up and procedures.
