Outcomer for athenaOne

Your front-desk and billing staff ask how to do it in athenaOne. Outcomer shows them.

Front-desk and billing staff can ask how to do a task in athenaOne and see each step on their own screen. The steps follow your practice's own procedures and set-up, not a generic manual.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made athenaOne guides. We build your guides from your own procedures, on your own athenaOne set-up, and test each one before your staff use it.

Shown on our practice system. We map your own athenaOne set-up during set-up.
Everyday questions

Everyday athenaOne tasks your front-desk and billing staff ask about

How do I check a patient in?Shows each check-in item your practice needs, in athenaOne.
How do I add a new insurance policy?Shows where the policy goes and what to scan from the card.
How do I enter a referral authorisation?Walks through the authorisation fields and linking it to the visit.
How do I close out the cash drawer?Shows the totals to enter and what to do if they don't match.
Instant support

Answers from your own procedures.

Your front-desk and billing staff get the answer on screen, in athenaOne and the systems around it, instead of interrupting a colleague or raising a ticket.

Training

athenaOne training that continues on the job

Onboarding covers the basics. When a question comes up later, Outcomer answers it inside athenaOne, from your practice's own procedures, while staff work.

Support questions

Questions your staff ask about athenaOne

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

What is the quickest way to find a patient?

In the search box at the top right of the main menu, type the first three letters of the last name, a comma, then the first three letters of the first name. Click the search icon, then open the patient's Quickview from the results.

How do I cancel an appointment after I've started check-in?

If you have not yet clicked Done with Check-in, click Cancel Check-in on the Check-in page, then cancel the appointment from the Appointment page. If check-in is already done, use the cancel or reschedule link in the patient visit footer on the Check-in page.

Can I cancel several appointments at once?

Yes. On the Workflow Dashboard, click the number under Appts to Resched to open the appointment cancellation worklist. Tick the appointments, choose a reason for cancellation and cancel the checked appointments together.

How do I check whether a provider takes a patient's insurance?

Open Payer Enrollment from the billing settings, view by provider, choose the provider and the insurance plan, and view the enrolment summary. If the plan shows with a credentialing status of Participating, the provider accepts it. Your set-up may differ.

How do I scan a patient's insurance card?

On the patient's Quickview, under Insurances, click Add card image. Scan both sides of the card and check the preview. If the image is already saved on your computer, browse to it at the bottom of the page instead.

How do I remove an insurance policy the patient no longer has?

Deactivate it. On Quickview, under Insurances, click Deactivate this policy, check the details, enter a deactivation reason and confirm.

Why does my incoming authorisation still say In progress?

An authorisation only shows as Completed once the authorisation number is entered, if the payer needs one, and it is linked to an appointment. Until both are done it stays In progress. You can link it to an upcoming appointment or schedule a new one from the same screen.

How do I record that a patient has died?

Open full registration and enter the deceased date, then save. If the patient has future appointments, athenaOne asks you to cancel them with a reason. To stop statements, choose the deceased option under hold statements in the billing section and save again.

A patient statement came back as undeliverable. What do I do?

In full registration, set a hold statements reason such as bad address and save, so no more statements go out. When you have the correct address, update it on Quickview and choose the option that no longer holds statements. Follow your practice's own returned-mail procedure.

How do I close out the cash drawer at the end of the day?

Open Time-of-Service Money from the Financials menu. On the reconcile payments tab, enter the drawer total for each deposit type, taking off any cash float you started with. Fix or add a note for any difference, then submit.

Can I undo a patient merge?

No. Deletes and merges cannot be undone, so review the merge or delete page carefully first. Your set-up may differ.

If your front-desk and billing staff ask questions like these every week, Outcomer answers them on their own screen, using your own athenaOne set-up and procedures.

Security

Your client data stays yours.

Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
