Outcomer for Coupa

Your employees ask how to do it in Coupa. Outcomer shows them.

Most people only raise a request or receive an order in Coupa now and then, so they forget the steps. Outcomer shows each step on their own screen, using your own buying rules and account codes.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made Coupa guides. We build your guides from your own procedures, on your own Coupa set-up, and test each one before your staff use it.

Coupa training that continues on the job

Coupa training covers the basics, but most staff raise requests and receipts only now and then. Outcomer answers their questions at the moment they are doing the work, using your own buying rules.

Support questions

Questions your staff ask about Coupa

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

How do I order something that isn't in a catalogue or punchout?

Use the free-text option on the home page (often labelled 'Write a request') and fill in the required fields, such as description, type, commodity and need-by date. Add it to your cart, then review the cart and submit it for approval. Your set-up may differ: some firms use request forms for certain purchases instead.

Where do I put the account code, and can I split the cost?

On the cart review screen, use the search icon in the billing section to choose the account. You can split a line across more than one account by amount or percentage. Which code to use comes from your own finance rules, so your set-up may differ.

How do I see who still needs to approve my requisition?

Open the requisition. The approvers are listed in the approval section, and the next approver is shown in the chain. Larger amounts usually need more approvers. You can also see the status in your list of requests.

My requisition says 'Pending Buyer Action'. What does that mean?

It means the request needs action from the buying team before it can move on. A common reason is a missing or incomplete field, such as the supplier, ship-to address or billing account. Check those fields first. If all is complete, your buying team is reviewing it.

Can I add an extra approver or someone to keep informed?

Yes, on the cart you can add a person to the approval chain, either after the current approver or at the end. You can also add them as a watcher. A watcher gets notifications but cannot approve. Your set-up may limit who can be added.

How do I approve or reject something in Coupa?

Open it from your To Do list on the home page or from the email notification. Review the lines, attachments and account codes, add a comment, then approve or reject. A comment is normally needed when you reject. A rejected requisition goes back to the requester as a draft.

How do I set up a delegate while I'm on holiday?

Open Settings from the menu under your name, then go to the Delegates tab. Create a delegation, choose the delegate, and set the start date, end date and reason. Save it. Your firm may have rules on who can act as your delegate.

How do I receive goods so the supplier can be paid?

Find the order (for example from your orders list or a 'pending receipt' view) and use the receive action on it. Enter the quantity you received, either the full line or part of it, then submit the receipt. Receipts are often needed before an invoice can be matched and paid.

How do I change a requisition I've already submitted?

While it is still pending approval, you can withdraw it. It goes back to draft, so you can edit it and submit it again. Once it has become an order, it can no longer be withdrawn.

Why can't I withdraw my request now it's an order?

Once a requisition has been turned into a purchase order, withdrawal is no longer possible. You need to request a change to the order instead, and the change goes through approval again. Your set-up may differ: some firms handle order changes through a separate form or the buying team.

How do I create an expense report and add receipts?

In the expenses area, create a new report and give it a clear name. Add one expense line per receipt and fill in the required fields, such as date, category, amount, business purpose and account. Upload a receipt to each line that needs one, then submit for approval.

If your employees ask questions like these every week, Outcomer answers them on their own screen, using your own Coupa set-up and procedures.
