Outcomer for Veeva Vault QMS

Your quality staff ask how to do it in Veeva Vault QMS. Outcomer shows them.

Quality staff can ask how to do a task in Vault QMS and see each step on their own screen. The steps follow your company's SOPs and Vault set-up, not a generic manual.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made Veeva Vault QMS guides. We build your guides from your own procedures, on your own Veeva Vault QMS set-up, and test each one before your staff use it.

SOP training tells staff what to do, but not always where to click in Vault. Outcomer answers their questions while they work in Vault QMS, using your own SOPs and set-up.

Support questions

Questions your staff ask about Veeva Vault QMS

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

Where do I find my tasks in Vault?

Tasks assigned to you appear on the Home tab under My Tasks, and on the record or document itself. Tasks offered to several people appear under Available Tasks until someone accepts them. A task near or past its due date shows a status icon.

Why is there no Complete button on my task?

If the task was sent to a group, you must accept it before you can complete it. Click Accept first, then Complete. Once accepted, the task moves to your My Tasks list.

My task banner is red. Can I still complete it?

Yes. A red banner means the task is overdue, but you complete it in the same way. Click Complete, fill in the required fields and click Complete again.

Why won't Vault let my browser fill in my password when I sign?

Some tasks and verdicts need an eSignature, where you enter your Vault username and password. Vault blocks saved passwords here for compliance reasons, so you have to type it. You may also be asked to choose a capacity for your signature.

Why can't I see a change control or CAPA I'm working on?

Access to quality records is often tied to Quality Team roles. If you aren't assigned to a role on the record, you may not be able to see it, and if you are removed from a role, Vault cancels your tasks for that role. Ask the record owner or your Vault admin to check your role. Your set-up may differ.

How do I add someone to the quality team on a record?

Open the record and, in the Quality Team section, click Manage Team. Type a name in the Team Member field and select it, then save. Some roles only accept eligible users, and your Vault may label this section differently.

How do I log a quality incident?

Create a Quality Incident record and add a description and any photos or files. If your company has set it up, you can also scan a QR code on your phone and submit a short intake form. A quality reviewer then decides whether it needs a quality event.

How does a quality incident become a deviation?

When the reviewer moves the incident to the Requires Quality Event state, Vault creates a related Deviation and copies the details and attachments across. If it doesn't qualify, the incident can be closed instead. Your Vault may create other event types, so your set-up may differ.

How do I start a change control on a controlled document?

In QualityDocs vaults with single-document change control, open the document and choose Open Change Control from All Actions. Complete the fields, including Document Change Action, which decides whether it goes through draft creation or withdrawal. Then start the approval workflow from the change control document. The change takes effect when the document reaches its steady state.

Can Vault draft the investigation summary on my deviation?

Where the Deviation Agent is switched on, edit the deviation and click the Generate Summary icon next to the investigation summary or CAPA plan summary field. Check the draft carefully, because you are responsible for it, then click Save. It works best later in the lifecycle, when the record is more complete.
