How it works

How Outcomer builds your knowledge bank.

Outcomer learns how your systems work, how your organisation wants the work done, and what your staff actually ask. That becomes your own knowledge bank, used by staff through Outcomer or your own AI assistant, such as Copilot. We build it and keep it up to date, so there’s nothing for your team to build.

Three sources of knowledge.

Your systemsHow each application works: its screens, menus, boxes and buttons.
Your proceduresHow your organisation wants each task done, including tasks that cross several systems.
Your support questionsWhat your staff actually struggle with: the “how do I…?” questions they ask today.

Seven steps, done for you.

  1. 1Learn your systemsOutcomer maps each system your staff use: its screens, menus, boxes and buttons. It works from a test login with test data, never the records inside.
  2. 2Import your proceduresYou give us your existing SOPs, manuals and process documents. Nothing new to write. Outcomer learns how your organisation expects each task to be done.
  3. 3Map procedures onto your systemsOutcomer automatically maps your procedures to the screens, boxes and buttons in your systems and builds step-by-step guides. Automated quality checks then test every step on your software to confirm it is accurate and works. Anything unclear is raised for review, never guessed. Only guides that pass are added to your knowledge bank.
  4. 4Learn from past support questionsYour service desk’s past “how do I…?” questions show what staff really find hard. We make sure each one has an answer and a guide.
  5. 5Build your knowledge bankYour systems, procedures, guides and answers come together in your organisation’s own knowledge bank: an AI support expert for the way you work.
  6. 6Share it with staff, in real timeStaff ask how to do a task, in Outcomer or in your own AI assistant, such as Copilot or ServiceNow. Both answer from your knowledge bank, and Outcomer shows them step by step in the guide bar, with each box or button outlined in green.
  7. 7New questions make Outcomer smarterWhen staff ask how to do a task that has no guide yet, Outcomer can guide them straight away by combining steps it has already tested with what it knows of your procedures. It only ever uses tested steps: if a task needs a step that hasn’t been tested, Outcomer doesn’t offer guidance. Once the task has been completed successfully, it becomes a reusable guide in your knowledge bank. We keep the guidance up to date as your systems and procedures change.
