SAP S/4HANA has many apps, and the right one depends on how your firm has set it up. Outcomer shows each step on your staff's own screen, from your own procedures.
Book a 10-minute demoAfter the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.
We check every step works before your staff see it.
Outcomer isn’t a library of ready-made SAP S/4HANA guides. We build your guides from your own procedures, on your own SAP S/4HANA set-up, and test each one before your staff use it.
Your finance and procurement staff get the answer on screen, in SAP S/4HANA and the systems around it, instead of interrupting a colleague or raising a ticket.
SAP S/4HANA courses teach the standard process, but each firm sets the system up its own way. Outcomer answers staff questions while they work, using your own procedures and set-up.
General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.
Use the Post General Journal Entries app (in the classic screens, transaction FB50 does a similar job). Enter the debit and credit lines with their G/L accounts. You can assign lines to cost centres, profit centres or orders, and tax can be calculated automatically. Your set-up may differ, for example if your firm uses journal upload or approval workflow.
Posted finance documents can't be deleted. Instead you reverse them, which creates a new document that swaps the debits and credits. You choose a reversal reason, and some reasons let you enter a different reversal date, which helps if the original period is closed. Your firm decides which reasons staff should use.
A common reason is that the document contains cleared items, for example an invoice that has already been paid. Documents with cleared items can't be reversed until the clearing is reset. Check the item status before you try again, and follow your firm's rules on who may reset clearing.
The posting period comes from the posting date you enter. Usually only the periods currently needed are open, such as the current month and perhaps the one before. The finance team controls when each period opens and closes, and the rules can differ for G/L, payables and receivables. If you need to post to a closed period, ask your period-end owner.
In the self-service app (My Purchase Requisitions or a similar app, depending on your release), add items to the cart from a catalogue or create a free-text item. Review the cart, then order it, which creates the requisition. To raise it for someone else, enter them as the requester in the general data. Your set-up may differ.
Open your requisitions in the same self-service app and filter the list. You can see the status of each item and any follow-on documents, such as a purchase order. Whether you can still edit or delete it depends on how far it has been processed.
Use the Post Goods Receipt for Purchasing Document app and enter the purchase order. The system proposes the open items. Check the material and quantity, including any over or under delivery, then post. This updates the order history and creates a material document.
In the Create Supplier Invoice app, enter the company code, gross amount, invoice date and the supplier's invoice number. Then reference the purchase order or delivery note. The system proposes the items from the order and goods receipt. Check them against the invoice, especially amounts, quantities and tax, then post.
The total you entered for the invoice does not yet match the total of the items and tax. Check the proposed item amounts, quantities, tax code and tax amount against the supplier's invoice. Correct them until the balance is zero, then post.
The message warns that the invoice price differs from the order price by more than the set tolerance. In the standard example it is a warning to check for an entry error and does not block the invoice by itself. Your set-up may differ: tolerance rules and payment blocks are set by your firm.
Use Display Supplier Balances to see balances by period, then select a balance to open Manage Supplier Line Items. Open items and cleared items are shown with different statuses. Select a document number to open the journal entry. You can also block or unblock a line for payment there, if your role allows it.
Where your firm uses flexible workflow, approval items arrive in the SAP Fiori inbox, and they can also be approved on mobile devices. An item may need one or several approval steps. Your set-up may differ.
If your finance and procurement staff ask questions like these every week, Outcomer answers them on their own screen, using your own SAP S/4HANA set-up and procedures.
See which SAP S/4HANA tasks staff ask about most, which procedure answered each question, and whether it was finished or passed to your support desk. Your IT team can export it at any time.
Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
