Outcomer for Mercury

Your recruiters ask how to do it in Mercury. Outcomer shows them.

Recruiters can ask how to do a task in Mercury and see each step on their own screen. The steps follow your firm's procedures and set-up, not a generic manual.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made Mercury guides. We build your guides from your own procedures, on your own Mercury set-up, and test each one before your staff use it.

Support questions

Questions your staff ask about Mercury

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

How do I log a phone call in Mercury?

On the contact record, open the Quick Create menu (the + button), expand Activities and choose Phone Call. You can also click the phone icon next to a phone number. Call From, Call To, Purpose and Subject must be filled in before you click Save and Close. The Purpose list is set by your firm, so your set-up may differ.

Why can't I edit a call I've already logged?

If Mark As Completed is left as Yes, the call is closed once saved and can be read on the timeline but not edited. If you need to finish your notes later, set it to No and the call stays open as an activity. Also note that a call marked Left Voice Mail does not update Last Contacted.

How do I shortlist a candidate to a vacancy from their record?

On the candidate's contact record, open the Candidate tab, go to Shortlists and click +New Shortlist. In the side panel, search for and select the vacancy, then click Save and Close. The shortlist then shows on both the candidate record and the vacancy's Candidates tab.

How do I move a candidate through the shortlist stages?

Tick one or more candidates on the shortlist and click Progress Candidate(s), then choose the next stage, such as Submit, Client Shortlist, Interview, Offer Made, Accept Offer or Reject. Interview can be used for every round. Reject closes the shortlist record and removes the candidate from your active list. Your firm may rename or hide these options, so your set-up may differ.

How do I create a placement when my candidate accepts the offer?

The candidate must reach Offer Made first; that stage cannot be skipped. On the vacancy's Candidates tab, tick the candidate on the shortlist and choose Accept Offer from the Mercury action menu, or drag them from Offer Made to Offer Accepted on the board view. Check the pay details shown and click Confirm. The placement takes a few minutes to create and then appears under the vacancy's Placements.

Why can't I finalise the placement?

If validation asks you to finalise the placement but the Finalised option is locked, click Validate again and it should unlock. The option is usually on the Placement Details tab, or in the drop-down at the top right of the record. It can stay locked when all tabs are showing, because finalising only needs the Placement Details and Addresses tabs.

I shortlisted the wrong candidate. How do I remove them?

On the candidate's contact record, open the Candidate tab and select Shortlists. Tick the vacancy, open the extra menu (the three dots) and choose Delete Shortlist, then confirm. You can do the same from the client or vacancy record.

How do I email CVs to the hiring manager from the vacancy?

Open the vacancy and go to the Candidates tab. Tick the candidates you want to send, open the Mercury action menu and choose About Candidate(s). The email editor opens with the hiring manager and the selected CVs already filled in. Complete the email as your firm requires and click Send Email.

How do I create a hot list?

Go to Hot Lists and click +New. Enter the name and owner, choose whether it is a candidate or client contact list, and click Save. Then click Add Existing Contact, pick the people you want (you can select more than one) and click Add.

How do I send a mailshot to my hot list?

Open the hot list, tick the people you want to email (or select all), then choose @ Email and To Candidate. Write the email in the editor or use one of your firm's templates. Use Live Preview to check it, then click Send Email.

Why does my email say "Email Message Is Too Long"?

The email editor has a 10,000-character limit, and text pasted from Word or a website brings hidden formatting that counts towards it. Paste the text into Notepad first, then copy it from Notepad into the email editor. This strips the hidden formatting.

Why can I only see the Experience and Related tabs on a candidate?

The record has probably switched to the simplified Candidate CV Only form. Click the form name under the candidate's name and choose Mercury Contact to get the full record back. Some firms use their own forms, so your set-up may differ; if so, ask your system administrator.

If your recruiters ask questions like these every week, Outcomer answers them on their own screen, using your own Mercury set-up and procedures.
