Recruiters can ask how to do a task in Vincere and see each step on their own screen. The steps follow your firm's procedures and set-up, not a generic manual.
Book a 10-minute demoAfter the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.
We check every step works before your staff see it.
Outcomer isn’t a library of ready-made Vincere guides. We build your guides from your own procedures, on your own Vincere set-up, and test each one before your staff use it.
Your recruiters get the answer on screen, in Vincere and the systems around it, instead of interrupting a colleague or raising a ticket.
Training covers the basics, but questions come up mid-task. Outcomer answers them while your recruiters work in Vincere, using your own procedures.
General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.
Go to Candidates in table view and tick the candidates, then click Shortlist in the actions bar. Pick the job or jobs and click Shortlist candidate(s) to Job(s). You can also do this for one candidate from their quick view or profile, using Actions and then Shortlist.
You can only shortlist to open jobs. Check that the job still has headcount and that its sourcing closed date has not passed. Filters in your User Settings, such as showing only certain jobs, apply across all tables. A candidate can also have no more than 1,000 job links in total.
Clear your browser cache and cookies, close and reopen the browser, log back in and try again. If it still fails, check the job is open with headcount left, the sourcing closed date has not passed, the company is compliant and you have permission to shortlist.
Tick the shortlisted candidates and click Send under the application actions. Choose the job, decide whether to include attachments, set up the LiveList and pick an email template before you click Send. If you only want to update the stage without emailing anyone, use Move to next stage and choose Sent; this works one candidate at a time.
The large black number is the total in that stage. The red cross shows records that were rejected, closed or ended, and the orange number shows records waiting for action. A green tick shows records that have moved on or are active. In the Placed stage, orange means starting and green means active.
You can select up to 100 candidates or contacts at a time from the table view, then click Actions and Email. Your email must be connected to Vincere first, and recipients need a valid address and must be subscribed. For larger campaigns, Vincere can export up to 10,000 records at a time to Mailchimp, if your firm uses it.
Your organisation's Microsoft settings stop individual users approving the Vincere email app (VincereMailV3). Your IT team needs to grant admin consent for it once. After that, try connecting again in a private or incognito browser window, signed in with the same work account.
Click the + button next to the search bar and choose Candidate. Drag in the CV and Vincere fills in the fields from it. Check and correct the details, then click Save, or Save and Preview to open the record straight away.
In the Candidates table, select the records, click Actions and choose Merge Candidate. Pick the master record and the fields to keep, then confirm. A merge cannot be undone, availability does not carry over, and the other record is archived, so it can still appear in search until it is deleted.
Open the job, click the Shortlisted stage, select the candidate and choose Remove Application. A log entry is kept on the candidate's Activities tab. You cannot remove an application that came in through a job board, or one that has gone past the interview stage.
You can only undo a placement while it is still starting, before the start date has passed. Click the orange number under the Placed stage, select the application and choose Undo Placement, then add a comment. An active placement cannot be undone, and if your firm uses Vincere pay and bill, related draft invoices and unsubmitted timesheets are deleted.
Open the placement, click Actions and choose Cancel Placement. Pick a reason, add any notes and click Save. The placement becomes read-only and a red banner lets you undo the cancellation. If your firm uses Vincere pay and bill, cancelling deletes submitted timesheets and draft invoices.
If your recruiters ask questions like these every week, Outcomer answers them on their own screen, using your own Vincere set-up and procedures.
See which Vincere tasks staff ask about most, which procedure answered each question, and whether it was finished or passed to your support desk. Your IT team can export it at any time.
Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
