Outcomer for SITS

Your registry and student services staff ask how to do it in SITS. Outcomer shows them.

Registry and student services staff can ask how to do a task in SITS and see each step on their own screen. The steps follow your university's own procedures, screens and codes, not a generic manual.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made SITS guides. We build your guides from your own procedures, on your own SITS set-up, and test each one before your staff use it.

Answers from your own procedures.

Your registry and student services staff get the answer on screen, in SITS and the systems around it, instead of interrupting a colleague or raising a ticket.

Training

SITS training that continues on the job

Training covers the main screens, but staff forget the codes and steps they use only at enrolment or exam board time. Outcomer answers their questions while they work in SITS, using your own procedures.

Support questions

Questions your staff ask about SITS

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

How do I find a student in SITS?

Open the student details screen (STU) or a quick student view, enter the student number and press F5 to retrieve. If you only have a surname, enter it with a wildcard to find partial matches, then check other details if several students share the name. Your set-up may differ.

How do I use a wildcard in a SITS search?

Press the 'gold key' first, which is Escape or the plus key on the number pad, and it shows as a small dot. Then type * for any number of characters or ? for one character, for example ·* after the start of a name. Gold * alone finds records where the field isn't blank, and gold = finds blank ones.

Which screen shows what?

SCJ gives the course join and status, SCE the enrolment for each year, SPR the programme record, SMO the modules being taken and SMR the module results. Your university may use extra or local screens, so your set-up may differ.

How do I see the valid codes for a field?

Double-click a code field, such as a course or status field, to see a list of valid codes. On some fields you can also click into the empty field and press F2.

How do I move to a student's related records without searching again?

Use the Other menu from the screen you are on, for example from STU to the student's course join record. SITS carries the student across so you don't have to retrieve them again.

How do I get a list of students on a course?

On the enrolment screen (SCE), enter your criteria, such as course, block and academic year, and retrieve. Then choose All, use the generate and print letters option, pick the list's letter code and run it. The list usually opens in Excel.

How do I get a quick count of records, such as students by status?

Retrieve the records, highlight the field you want to count, then use Misc and Quick analysis. It gives counts and percentages for each value in that field.

How do I save a change in SITS?

Press F6 to store the record. You can only store or add records if your account has update access to that screen.

Why are some menu options greyed out?

A greyed-out option means your account doesn't have access to it, or your university doesn't use that screen. Ask your SITS or records systems team if you need it for your role.

SITS shows a percentage match when I create a new student. What should I do?

SITS checks for duplicates using details such as date of birth, gender, surname and forename. If the match is high, check the existing records first. If it is the same person, use the existing record and update their details rather than creating a new one.

What is the difference between SITS:Vision and e:Vision?

SITS:Vision is the main client screens used by records staff. SITS:eVision is the web interface used by staff and students, often called student records online. Access to each is usually requested separately.

If your registry and student services staff ask questions like these every week, Outcomer answers them on their own screen, using your own SITS set-up and procedures.
