Reception and admin staff can ask how to do a task in SystmOne and see each step on their own screen. The steps follow your organisation's own procedures and set-up, not a generic manual.
Book a 10-minute demoAfter the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.
We check every step works before your staff see it.
Outcomer isn’t a library of ready-made SystmOne guides. We build your guides from your own procedures, on your own SystmOne set-up, and test each one before your staff use it.
Your reception and admin staff get the answer on screen, in SystmOne and the systems around it, instead of interrupting a colleague or raising a ticket.
Courses and crib sheets cover the basics. When a question comes up later, Outcomer answers it inside SystmOne, from your own procedures, while reception and admin staff work.
General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.
Use the Send a unique appointment URL to the patient button. If it is not on your toolbar, ask for it to be added. Your practice sets up which invitation types and slots patients can book, so your set-up may differ. Test on a dummy patient with your own mobile first.
Sessions show in two-week periods, and the first period shown may be full. The patient may need to choose a later date range. It is also worth checking that there are enough free slots for the number of invitations sent.
The booking link takes up most of the text message, and SystmOne does not show how many characters you have used. Keep the message short. Put longer details on a web page, in a second text, or in an email or letter.
Messages are now sent through the Communication Annexe. If your toolbar still has the old Send SMS message or Send e-mail buttons, ask your SystmOne lead to replace them with Launch Communication Annexe and to convert old SMS presets into message presets.
Go to Help, then Support & FAQs, then Documentation & Training. TPP's user guides, such as the appointment invitations and Communication Annexe guides, are listed there.
Open Remote Booking from the Appointments menu, or press Ctrl+Shift+Q. Double-click a rota to see its free slots, right-click the slot you want and book the appointment. Add what the patient is attending for in the description. Your set-up may differ.
Press F9 or open Appointments Search from the Appointments menu. Enter the patient's details, tick the option for appointments remotely booked into other organisations and search. You can see who made the booking from there. To cancel it, retrieve the patient, right-click the appointment and cancel it.
This is done as proxy access. In Patient Maintenance, create a new online user account for the staff member, verify their details and secure email, and allow them access to a patient's account. Link each resident with the carer relationship and allow medication requesting. Follow your practice's proxy access policy, as your set-up may differ.
If the proxy has an NHS number they could be registered as a patient. That would affect population reporting and payments. If a search finds the person with an NHS number, choose Not Found and create a new user instead.
Proxies log in with their email, so they can usually reset a forgotten password themselves. If they cannot, the practice that first set them up as a proxy has to reset the account.
When you use SystmOne over the internet without a smartcard, it checks your device. Choose Email code, enter the code sent to your work email and submit it, then log in again. Some features, such as Spine services and registering patients, may not work on this kind of connection. Your set-up may differ.
If your reception and admin staff ask questions like these every week, Outcomer answers them on their own screen, using your own SystmOne set-up and procedures.
See which SystmOne tasks staff ask about most, which procedure answered each question, and whether it was finished or passed to your support desk. Your IT team can export it at any time.
Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
