When someone is unsure how to receive an order, match a supplier invoice or post a journal, Outcomer shows each step on their screen. The steps come from your own procedures, so the work is done right first time.
Book a 10-minute demoAfter the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.
We check every step works before your staff see it.
Outcomer isn’t a library of ready-made Sage X3 guides. We build your guides from your own procedures, on your own Sage X3 set-up, and test each one before your staff use it.
Your finance, purchasing and operations staff get the answer on screen, in Sage X3 and the systems around it, instead of interrupting a colleague or raising a ticket.
Training covers the main flows, but questions come up when an invoice doesn't match or a period is closed. Outcomer answers them on screen, from your own procedures, while staff work.
General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.
Create a new receipt, enter the receiving site and supplier, then pick the order lines from the selection panel. The lines fill in from the order, and you complete the stock details such as location, lot or serial number. You can receive all or part of an order. Your set-up may differ.
Once a receipt is saved, the received quantity and stock details can't be edited on the receipt itself. For stock items, quantities are changed through the receipt modification option on the line. If the line has already been partly invoiced, you can no longer change the quantity. Otherwise the fix is to delete the receipt and create it again.
Only if your set-up allows over-receipts on orders. If it does, Sage X3 shows a warning when the received quantity is more than the ordered quantity. If it doesn't, ask your purchasing team how to handle the extra goods.
Enter the invoice header first: site, invoice type, supplier, the supplier's invoice number and date, and the totals. Then use the selection panel to pick the receipts or orders, which loads the lines. You can still add, change or delete lines. Finally, check any differences and either post the invoice or put it on hold.
Enter a credit memo and give the original invoice number. A full credit memo cancels the invoice. A partial credit memo is for a dispute over price or quantity, and it adjusts the stock value. Which invoice types you can use depends on your set-up.
Check the customer's credit status on the order. If it is Blocked, the order can't be allocated. If allocation would take the customer over their credit limit, you either get a message asking you to confirm or the allocation is blocked, depending on your user settings. The credit check uses the sold-to customer, not the bill-to customer.
A sales order closes when it is fully shipped (or fully invoiced, for direct invoicing orders), or when someone closes it manually. A closed order can no longer be changed. If the order is on hold instead, delivery and invoicing stop until a user with the right access releases it.
Validating a delivery issues the stock. After that you can print the packing slip and create the invoice or pro forma from the delivery. Loan and subcontract deliveries work differently, so your set-up may differ.
A journal with Temporary status can still be changed or deleted. Once it is Final, the date, amounts, accounts and tax code are locked, and only information fields and analytical postings can be changed. Journals created by other modules, such as purchasing or sales, can't be deleted in accounting.
The journal date must fall in a financial year and period that is open for all ledger types. If the period is closed, ask your finance controller which open period to use or whether the period can be reopened.
Open the journal and use the reversal option. Sage X3 proposes a date and a description, which you can change. You can also mark a journal 'To reverse' when you enter it, so it is reversed on a set date. Once a journal is reversed, its reversal fields can't be changed.
Use stock change within the site. Depending on how the transaction is set up, you can change the location, warehouse, status or unit. You can only move up to the available quantity on each stock line. A saved stock change can't be edited, so to correct one you enter a movement in the opposite direction.
If your finance, purchasing and operations staff ask questions like these every week, Outcomer answers them on their own screen, using your own Sage X3 set-up and procedures.
See which Sage X3 tasks staff ask about most, which procedure answered each question, and whether it was finished or passed to your support desk. Your IT team can export it at any time.
Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
