Outcomer for iCIMS

Your recruiters and hiring managers ask how to do it in iCIMS. Outcomer shows them.

Recruiters and hiring managers can ask how to do a task in iCIMS and see each step on their own screen. The steps follow your organisation's procedures and set-up, not a generic manual.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made iCIMS guides. We build your guides from your own procedures, on your own iCIMS set-up, and test each one before your staff use it.

iCIMS training that continues on the job

Training covers the basics, but questions come up mid-task. Outcomer answers them while your recruiters and hiring managers work in iCIMS, using your own procedures.

Support questions

Questions your staff ask about iCIMS

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

How do I move a candidate to the next status for a job?

Open the candidate's Recruiting Workflow profile for that job. The profile card at the top shows the current bin and status, with Advance and Reject buttons. Use these to move the candidate on or turn them down. The statuses you see are set by your organisation, so your set-up may differ.

Why does one candidate have several workflows?

Each candidate has one Person profile, plus a separate Recruiting Workflow profile for every job they are linked to. The workflow holds the job-specific details, such as assessments for that application. The Other Workflows tab lists the other jobs and talent pools the candidate is in.

How do I email candidates from a job?

Open the job, go to the People tab and group by status. Tick the candidates, open More Actions and choose Email. Pick a template or write your own, add a subject, then click Preview to check the variables before you click Send. Tick Save as Document if you want a copy saved to each candidate's profile.

Why did some candidates drop off my email, and can I recall it?

iCIMS removes candidates with invalid or bounced email addresses automatically. Attachments also reduce how many people a mass email can go to. Sent emails cannot be recalled, so check the preview first, and look for any variables shown with a strikethrough, as those will not fill in.

How do I schedule an interview in iCIMS?

On the candidate's application, select Advance and choose the status your organisation uses to invite candidates to interview. Pick an interview template and check the interviewers. Then either click Send Invitation so the candidate picks a slot, or Schedule Now to book a time yourself. You can schedule up to 100 candidates for the same job at once.

How do I reschedule or cancel an interview?

Open the interview from the candidate's Activity tab or from the Interview Scheduling Center under Library. Use the menu to choose Reschedule Interview, Request Candidate Reschedule or Cancel Interview. Changing or declining the event in a linked calendar also reschedules or cancels it.

Why can't I book a video interview?

The primary interviewer needs a synced calendar with the video service turned on. If they only have an application calendar, or no video service, iCIMS shows an error and Preview Notifications is not available. Choose a different primary interviewer or ask your iCIMS admin.

I've forgotten my iCIMS password. How do I reset it?

On your organisation's iCIMS login page, click Forgot your Login or Password?, enter your email address and click Send Request. Check your spam folder if the email has not arrived within five minutes. The link expires after 8 hours, or when another reset is requested. If your organisation uses single sign-on, ask your own IT team instead.

How do I change my password?

Click your profile picture at the top right and choose View Profile. Open the Login tab, click the edit icon, enter the new password twice and click Save. You will only see this option if your user group is allowed to change its own password.

How do I find qualified candidates for a job?

Click Find Qualified Candidates in the Search menu, or on the job's People tab. Enter a job title, keyword or skill, and add a location if you need one; you cannot search by location alone. Narrow the results with filters such as skills, experience and radius. Changing the sort or a filter clears any candidates you have selected.

If your recruiters and hiring managers ask questions like these every week, Outcomer answers them on their own screen, using your own iCIMS set-up and procedures.
