Outcomer for Applied Epic

Your account handlers ask how to do it in Applied Epic. Outcomer shows them.

Account handlers can ask how to do a task in Applied Epic and see each step on their own screen. The steps follow your own broking procedures, activity codes and set-up.

After the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.

How the free trial works

We check every step works before your staff see it.

Outcomer isn’t a library of ready-made Applied Epic guides. We build your guides from your own procedures, on your own Applied Epic set-up, and test each one before your staff use it.

Classroom training cannot cover every renewal or mid-term change. Outcomer answers your account handlers' questions while they work in Applied Epic, using your own broking procedures.

Support questions

Questions your staff ask about Applied Epic

General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.

How do I open a new activity for a client request?

Go to the account, open Activities and click Add, or press F9, Insert or Ctrl+N. Choose the association, a category and code, a description, the owner and a follow-up date, then save. The association is saved when you click Continue and cannot be changed afterwards, so check it first. Your firm's activity codes may differ.

I opened an activity by mistake. Can I delete it?

No. Activities can be closed but not deleted. Select Closed and choose Successful or Unsuccessful, and add a note if your procedure asks for one.

How do I reopen an activity I closed too early?

Open the activity, select Open and enter a new follow-up or start date, then save. The activity goes back into the owner's open work.

How do I save a client email from Outlook into Epic?

Select the email in Outlook and click Attach to Epic on the ribbon. Find the account, check the description, choose a folder and set an access level if your firm uses them, then click Finish. You can also tick Attach to Epic when you send an email. This needs the Epic add-in for Outlook, so your set-up may differ.

I attached a document but I can't see it in the list. Where has it gone?

A new attachment only shows if it matches the current search filter. Select Show All Documents, or use Clear Filter, and look again. Lists show up to 10,000 attachments, so narrow your search on very large accounts.

Why can't my colleague open an attachment I added?

Attachments can be given an access level when they are added. Only staff with that security level can view the attachment. Check the access level on the attachment, and ask your Epic administrator if you are unsure which level to use.

How do I renew a policy in Epic?

Open the account's Policies area, select the policy and choose Renew from the Actions menu. Check the details carried over, enter the estimated premium and commission if known, untick any line that is not renewing, and set each line's status to Renewal. Then click Finish. You can renew up to 50 policies at once, but with fewer editable fields.

Why does Epic ask whether editing is complete when I renew?

This happens when the policy is still In Process. If you answer Yes, you must fill in the Distribution tab before you can finish. Epic may also remind you to update multi-carrier or commission schedules by hand.

Why isn't a policy showing in the Renewals Manager?

Policies appear about 90 days before expiry, or the number of days set for that policy type. Each policy's renewal stage decides how long it stays in view, so keep stages up to date. A filter that hides renewed policies gives a clearer list of what still needs work.

Why can't I endorse this policy?

You cannot endorse a policy that has not been issued. Once it is issued, select the policy and choose Endorse, enter the effective date of change and a description. When the insurer sends the endorsement back, complete it with Issue/Not Issue Endorsement.

What do I need before I submit a cancellation?

Applied's guidance is to print the cancellation, have the client sign it, then scan and attach the signed copy to the account. Then select the policy, choose Submit Cancellation, pick the contact to notify and complete the Distribution tab, which is required. Your firm's own rules for cancellations may differ.

If your account handlers ask questions like these every week, Outcomer answers them on their own screen, using your own Applied Epic set-up and procedures.
