Officers who raise requisitions, approve invoices or claim expenses can ask how to do it in Unit4 and see each step on their own screen. The steps follow your council's own procedures, codes and approval rules.
Book a 10-minute demoAfter the demo, we’ll set up your department free of charge. A small trial confirms it’s accurate, then a larger trial measures the drop in support queries.
We check every step works before your staff see it.
Outcomer isn’t a library of ready-made Unit4 guides. We build your guides from your own procedures, on your own Unit4 set-up, and test each one before your staff use it.
Your council officers get the answer on screen, in Unit4 and the systems around it, instead of interrupting a colleague or raising a ticket.
Training covers the main finance tasks, but officers forget the steps they only use a few times a year. Outcomer answers their questions while they work in Unit4, using your own procedures and codes.
General answers for the standard product. Your own set-up may differ, and that’s what Outcomer follows.
Open the Procurement area and choose the standard requisition screen. Enter the supplier first, then add each line with a product code, quantity and net price excluding VAT, and complete the budget coding. When you save, it goes for approval and you get a requisition number; the purchase order number comes later. Your set-up may differ.
In the Procurement area, open the requisition enquiries and choose the workflow enquiry for requisitions. Search by requisition number to see its workflow status, and open it to view the workflow map showing who holds it. 'Workflow in progress' means it is still waiting for approval; 'Finished' means it has been approved.
Yes, until it has been approved. Open it from your own requisitions enquiry and edit it. You can't delete rows from a submitted requisition, so if a line is wrong you may need to close the requisition and raise a new one. Once the workflow is finished, it can no longer be changed.
Approved requisitions are turned into purchase orders by scheduled background jobs, not instantly. How soon you see the PO depends on when the requisition was approved and when the next job runs. If it has been much longer than usual, contact your finance systems team.
Open the original from your own requisitions enquiry and choose Copy Requisition. Amend the details you need and save. The copy gets a new requisition number, and you can copy a requisition whatever its status.
The supplier ID you entered has been closed. Search for another active ID for the same supplier. If there isn't one, ask your creditors or accounts payable team, who may need you to submit a new supplier request.
In the GL analysis part of the requisition, use Split row to add another coding line. Change only the part of the code that differs, and make sure the percentages add up to exactly 100. Your set-up may differ.
Open the substitutes option, set your absence status to out of office and enter the dates. Then add the colleagues who will act for you during that time. A substitute usually needs the same approval rights as you, so if you can't add someone, contact your systems team.
Open your task list from the tasks icon, which shows a count of tasks waiting. Open a task, check the coding and, for invoices, the invoice image, then choose Approve or Reject. If you reject, give a clear reason the next team can act on.
A draft claim can be opened, edited and saved again. You may still be able to edit a claim that is already in workflow, but changes such as the amount, the project code or a new receipt can send it back through approval. Your set-up may differ.
For security, the web system signs you out after a period of inactivity set by your organization. If you need to step away, save the claim as a draft and reopen it later.
If your council officers ask questions like these every week, Outcomer answers them on their own screen, using your own Unit4 set-up and procedures.
See which Unit4 tasks staff ask about most, which procedure answered each question, and whether it was finished or passed to your support desk. Your IT team can export it at any time.
Outcomer never reads, uses or keeps the data in your systems. It finds each box and button by its label, never what’s typed in it, takes no screenshots, and works from your procedures, not your records.
